What I do with your details.
Last updated October 6, 2026. Written plainly, because a privacy policy nobody reads protects nobody.
If you contacted me
When you fill in a form or book a call I keep your name, email, phone number, your website address and whatever you wrote. I use it to reply to you and to do the work. That is all.
If I contacted you first
I keep a list of coaching and other small practices in the eastern United States, built from public sources: professional coaching directories, public registries such as the federal provider registry and investment adviser filings, and the practices' own websites. It holds a business name, a business address, a phone number, a public email address and the website. Nothing private, nothing bought from a data broker.
Every email I send you says where I found you and has a one-click unsubscribe. Click it and you are removed permanently and immediately. If you would rather I erase the record altogether, email hello@pinewellstudio.com and I will, and confirm when it is done.
What I never do
- Sell your details, or share them with anyone for their own marketing
- Buy contact lists
- Keep emailing after you have asked me to stop
- Use tracking pixels to watch whether you opened an email
If you are a client
I host your website and the small CRM behind it. Enquiries from your site are stored so you can read them. That data is yours: I hold it on your behalf, I do not use it for anything of my own, and you can ask for all of it, or its deletion, at any time.
One thing to be clear about. The CRM is not built for medical records. If you are a therapist or a clinician, do not put session notes, diagnoses or anything else that would count as protected health information into it. It is for names, contact details and appointment times. If you need somewhere to keep clinical records, use a system built for that, with a signed agreement in place.
Who else can see it
The site runs on Vercel and the database on Supabase. Email goes out through Resend, texts through Twilio, and payments through Stripe. Each of them sees only what they need to do that job. I do not give your details to anyone else.
Asking me things
You can ask what I hold about you, ask me to correct it, or ask me to delete it. Email hello@pinewellstudio.com and I will do it within thirty days, usually the same week.
